Privacy Protocol
Last Updated: October 18, 2025
Your privacy is a core component of our operational directive. This document outlines the data protocols for ZeoN ™ ("the Bot") and your rights regarding your information. By utilizing the Bot, you consent to these protocols.
1. Data Processing Scope
To provide its extensive features, the Bot processes certain data. We are committed to data minimization and only collect what is necessary for functionality.
1.1. Information Provided by You
- Server Configuration: All settings explicitly configured by administrators, including welcome messages, automod rules, ticket panels, log channels, role assignments, custom auto-responses, and other module settings. This data is essential for tailoring the bot's operation to your server's needs.
- Command Inputs: Any text, links, or prompts provided as arguments to commands (e.g., song names for `/play`, prompts for `/aiplay`, user IDs for `/ban`). This data is processed to execute the requested command and is not stored unless it becomes part of a log entry configured by the server admin.
1.2. Information Collected Automatically
- Core Identifiers: Your Discord User ID, Username, and server-specific nicknames are collected to attribute actions, manage permissions, and display information in leaderboards and logs.
- Server Telemetry: We collect Guild (Server) IDs, Channel IDs, and Role IDs to ensure commands and automated systems function correctly within the server's structure.
- Message Metadata: For prefix commands and automoderation, message content is analyzed ephemerally (in-memory) to detect triggers. **We do not store the content of user messages**, except when a server administrator configures a feature that requires it (e.g., message logging, ticket transcripts), in which case the data is under the server's control.
- Voice Activity: We monitor your presence and session duration in voice channels to facilitate music playback and power the voice time tracking system. We do not record or store audio.
- Invite Analytics: We track invite codes, their creators, and usage statistics (joins, leaves) to power the invite counting system. This includes associating a joining user with the invite they used.
2. Purpose of Data Utilization
All data collected serves one or more of the following operational purposes:
- Service Provision: To execute the Bot's core functionalities as advertised, from playing music to moderating chat.
- Customization: To store and enforce server-specific configurations as defined by administrators, creating a unique experience for each community.
- Analytics & Engagement: To generate server-specific leaderboards and statistics (levels, invites, messages, voice time) that foster community activity.
- Security & Moderation: To provide logging, automoderation, and anti-nuke tools to help administrators maintain a safe and orderly environment.
- Support: To manage user support requests via the integrated ticket system, including creating transcripts for administrative review.
- System Integrity: To monitor for errors, prevent abuse (e.g., command spam), and maintain the operational stability and performance of the Bot's infrastructure.
3. Data Security, Storage, & Retention
3.1. Security Measures
We implement a multi-layered security strategy to protect your data. All persistent data is stored in a secure, managed database with encryption at rest and in transit. Access to backend systems, databases, and sensitive configuration is strictly limited to authorized development personnel via multi-factor authentication on a need-to-know basis. We conduct regular security audits to identify and patch potential vulnerabilities.
3.2. Data Retention Policy
Our data retention is designed to be as minimal as possible. Server-specific configuration data is retained as long as the Bot remains in the server. When the Bot is removed from a server, all associated data is entered into a deletion queue and is permanently purged within a 30-day grace period. User-specific data that is part of a server's configuration (e.g., levels, message counts) is deleted along with the server data. We do not retain backups or archives of data from servers the bot is no longer a part of beyond this grace period.
4. Third-Party Data Sharing
We do not sell, trade, or rent any user or server information to third-party companies or services for marketing or any other purpose. Data is shared only under the following strictly necessary conditions:
- With the **Discord API** as fundamentally required to receive events and respond to commands.
- When information is made visible to **Server Administrators** through features they have explicitly configured (e.g., moderation logs, ticket transcripts, statistics). The visibility of this data is under their control.
5. Your Rights & Control Over Your Data
We believe in data ownership. As a user, you have the right to:
- Right to Access: You may request a summary of the personal data we hold about you (e.g., your level, message count) by contacting our support team.
- Right to Erasure: You can request the deletion of your personal data from our systems. Upon verification, we will purge all data associated with your user ID that is not integral to server-wide moderation records.
- Right to Opt-out: Server administrators can disable features that track user data, such as leveling or message counting, at any time through the bot's configuration commands.
To exercise these rights, please contact our support team through the official support server. Note that some data, such as your presence in a server's moderation logs, is under the control of that server's administration and cannot be removed by us.
6. Children's Privacy
The Bot is not intended for use by individuals under the age of 13, in compliance with the Children's Online Privacy Protection Act (COPPA) and Discord's Terms of Service. We do not knowingly collect personal data from children under 13. If we become aware that we have collected such data, we will take steps to delete it immediately.
7. Policy Updates
This Privacy Protocol may be updated periodically to reflect changes in our practices or to comply with new legal requirements. We will provide at least 30 days' notice of any significant changes through an announcement in our official support server.
8. Contact Information
For any inquiries, data requests, or concerns regarding this Privacy Protocol, please join our support server or contact our privacy compliance officer at [Your Email Address].

3. Service Availability and Modifications
The Bot is provided on an "as-is" and "as-available" basis. We strive for maximum uptime but do not guarantee uninterrupted, secure, or error-free service. We reserve the right to add, modify, suspend, or discontinue any feature or the service as a whole at any time, with or without notice, for maintenance, updates, security patches, or any other reason.

In no event shall the developers of ZeoN ™ be liable for any direct, indirect, incidental, special, or consequential damages (including, but not limited to, loss of data, server disruption, member loss, or reputational harm) arising from the use or inability to use the Bot, even if advised of the possibility of such damage. The Bot is a tool, and its configuration and the consequences thereof, including any automated moderation actions, are the sole responsibility of the server administrators who configure it.
6. Termination
We reserve the right to terminate or suspend your access to the Bot at our sole discretion, without prior notice or liability, for any reason whatsoever, including but not limited to a breach of these Terms. This termination may involve blacklisting a specific user ID or an entire server ID from using the service, thereby preventing any future interaction.
7. Indemnification
You agree to indemnify and hold harmless the developers of ZeoN ™ from and against any and all claims, liabilities, damages, losses, and expenses, including reasonable attorney's fees, arising out of or in any way connected with your access to or use of the Bot, or your violation of these Terms.

These Terms shall be governed and construed in accordance with the laws of [Your Country/State], without regard to its conflict of law provisions. You agree to submit to the personal and exclusive jurisdiction of the courts located within this jurisdiction.
9. Amendments to Terms

If a revision is material, we will provide at least 30 days' notice prior to any new terms taking effect, typically through an announcement in our official Discord support server. What constitutes a material change will be determined at our sole discretion. Your continued use of the Bot after such changes constitutes your acceptance of the new Terms.
